Managing internal information

A practice website is the ideal way to share information with patients since it allows them to log on whenever they want to find out whatever they need to know. A web-based intranet performs exactly the same function for practice staff in that they can log in as and when they need to view some important information to help them do their job better.

GP practices handle a vast amount of information and often it is difficult to keep everybody up to speed with every development. By providing an internal private website where users can post and retrieve information for themselves a practice intranet can greatly improve information flow within the practice.

A modular add-on service

Our practice intranet service is available as an extension to your practice website. Users log in to a password-protected area of the website to get access to a suite of information sharing tools including

• a notice board for circulating information of general interest
• a diary and meeting scheduler with automatic reminders
• a document publication system
• an internal and external contacts database
• an internal messaging system
• a circulation system for external communications

All of the above elements are available as separate modules

Internal document management

All of the intranet modules which we can add to your website are useful additions to practice information handling. However, we believe that our document publication system is the most important element of the package.

The document publication system allows users to share internal documents such as clinical protocols and work procedures in a logical and searchable structure. Each document published on the system has the following information attached to it

• document title
• a content summary
• publication and review dates
• author and origin
• searchable keywords

The system also sends automatic reminders to document owners when review dates are imminent.
